Although printers are an integral part of your office equipment, there are ways to save your business some money.

Read on to find out how you can cut the costs back with a few simple adjustments to the way your office uses your printer.

Choose your font wisely

This might seem like an obvious tip, but you’ll be surprised at how few people consider the impact their font choice will have on printing costs. For example, if your employees are printing their work using the Comic Sans font, it will use 5.32% more ink on average than if they used Helvetica. Choose a standard internal font for your employees, such as Helvetica, and impress upon them the importance of using it to reduce ink costs.

Alongside considering which font you’re using, you should also bear the font size in mind too. You can save paper by using a smaller font size, therefore printing fewer pages.

Take advantage of print preview

We’ve all experienced it. You press print and review your document, only to find out that you’ve aligned the margins all wrong on your table! You can avoid wasting ink, paper and your valuable time by utilising the ‘print preview’ function on your computer.

By reviewing your print job before hitting print, you can ensure your document looks exactly as you’d like it to, and if not, making any changes before wasting ink or paper.

Image credit: iStockPhoto.com / AfricaImages (via Custard Online Marketing Ltd)

Consider a mono printer

Do you find that the majority of your business’ printing is done for internal reasons? If so, then you should consider buying a mono printer instead of a model which prints in both black and white and colour.

Mono printers, such as the Xerox Phaser 3610DN, are a great way to cut costs down when it comes to your printing. Even though they simply print in black and white, they boast a DPI of 1200 x 1200 and can print the first page in 6.5 seconds. This will not only save you money on the costly colour inks that you might not even us, it will also boost your productivity in the office.

Utilise draft mode

Another handy tip for office’s which print mainly for internal jobs is to utilise the ‘draft mode’ setting on your printer. When documents are for external purposes, they need to be high quality and professional. However, when you’re printing a job list for your employees, it doesn’t need to look perfect.

Image credit: iStockPhoto.com / imegastocker (via Custard Online Marketing Ltd)

To save ink, and to print your documents faster, use the ‘draft mode’. This will produce your documents in a slightly lower quality, but it will save you money on consumables.

These handy printer tips could help your business to cut unnecessary costs and even become more productive. Now it’s up to you to implement them in house and see the spend come down.

If you’re a savvy business operator, you’ll be constantly evaluating areas of your company which could be overspending.
